A large-scale medical conference requires an audiovisual setup capable of covering multiple venues, various presentation formats, and a wide range of technical needs. For EuroPCR, Videlio is deploying an audiovisual system covering 17 rooms, featuring video, audio, LED, and translation solutions, complemented by power distribution throughout the venues.

Behind the scenes, the project relies on meticulous logistical planning and coordination among Videlio’s teams. Approximately 30 technicians and 10 roadies are involved in installing a system comprising nearly 15 to 20 metric tons of equipment.

An audiovisual system deployed by Videlio in 17 theaters

A scientific conference brings together multiple formats in a single venue. Audiovisual requirements vary depending on the size of the spaces, their function, and the scheduled presentations.

For EuroPCR, Videlio teams are setting up 17 rooms. The service covers video, audio, LED walls, LCD screens, and power distribution.

This diversity requires multiple audiovisual configurations. In particular, Videlio deploys 17 audio consoles, various audio distribution systems, video control rooms, touchscreens, and LED walls.

The operational challenge lies in the ability to bring these resources together within a single audiovisual system for the conference and then to coordinate their setup across the various venues.

For the organizer, this approach provides access to audiovisual expertise capable of covering the entire technical scope entrusted to Videlio.

The Main Arena features state-of-the-art video equipment

Given its size and the equipment installed, the Main Arena is one of the key venues in the Videlio setup for EuroPCR.

Video plays a central role there. The teams are installing a Capta video production system connected to nine cameras and an Aquilon RS4 broadcast system.

This infrastructure meets the specific video capture and broadcast needs of this conference venue.

A 250 m² LED wall at the center of the space

One of the most prominent features of the setup is the 250 m² LED wall, with a pixel pitch of 2.6 mm.

Its size immediately conveys the scale of the audiovisual setup deployed for EuroPCR.

Videlio complements this installation with LCD screens as well as two 15,000-lumen laser projectors for the hall’s auxiliary screens.

Together, these elements form a video system tailored to the dimensions of the Main Arena and the broadcast requirements of this space.

The LED wall thus becomes an integral part of the overall audiovisual system, alongside the production, broadcast equipment, and video control room.

Nine cameras and a video control room dedicated to the production

Producing a medical conference requires resources tailored to the various formats held in the relevant venues.

In the Main Arena, Videlio utilizes nine cameras controlled from the video production center. The Capta control room and the Aquilon RS4 system round out the setup.

This setup demonstrates the Videlio teams’ ability to integrate recording, image processing, and broadcasting within a single audiovisual environment.

Beyond the sheer number of devices, this project also highlights the importance of the control room in an audiovisual production for a scientific conference of this scale.

Audio and Translation: Videlio equips the various spaces

Audio is another major component of the event.

For EuroPCR, Videlio is deploying 17 sound consoles and 80 wireless systems for handheld microphones and headsets. Depending on the venue, audio is delivered via headsets or D&B speaker systems.

The setup also includes approximately 300 translation headsets.

These resources address the variety of configurations at the conference. A room equipped with a public address system has different characteristics than a space that requires headsets.

Videlio therefore adapts the audio equipment to the configurations planned for the various spaces covered by the service.

For organizers of medical or scientific conferences, this capability allows them to integrate sound reinforcement and interpretation within the project’s audiovisual scope.

Several video setups for the conference venues

Video requirements aren’t limited to the Main Arena. Videlio is deploying several setups to equip the other spaces assigned to the teams.

Two 8 × 3-meter LED walls are paired with two Barco S3 video production consoles and D&B audio distribution systems.

Two 3.60 × 2-meter Totem LED walls round out the setup. They are paired with two Pulse 2 video production consoles and a D&B audio system.

The Videlio teams are also installing ten 55- or 65-inch touchscreens and approximately 30 LCD screens in 49-, 55-, or 85-inch sizes.

This variety of equipment makes it possible to create multiple setups within the same event. It also reflects a reality of large conferences: audiovisual systems must adapt to the characteristics of the spaces and their intended uses.

Videlio brings expertise here that spans multiple video technologies within a single service offering.

40 professionals were mobilized to prepare and install the system

The scope of an audiovisual setup for a medical conference is also determined before the event begins.

To prepare for EuroPCR, the teams spend two days working at the service’s warehouse in Nanterre. This phase is followed by three days of setup.

About 30 technicians and 10 roadies participate in the deployment.

In total, nearly 40 professionals are involved in setting up the system.

These figures offer another perspective on the project. Behind the LED walls, cameras, and audio consoles lies a team of people capable of preparing, transporting, and then installing a large volume of equipment within the project’s scheduled timeline.

Technical expertise thus relies not only on the equipment itself but also on the skills of the professionals who set it up.
